Your Commitment to Enterprise-Grade Relocation
Empire Relocations, IBA-approved (Code: MUO-2547) and established in 2010, operates under Indian commercial law and GST regulations. These terms define the agreement between you (the client) and Empire Relocations for relocation services across Delhi NCR, Mumbai, Bengaluru, Hyderabad, Pune, and other major metros. By engaging our services, you accept these conditions.
Service Scope and Deliverables
What We Provide
Empire Relocations delivers end-to-end relocation management including packing, transportation, unpacking, and placement of goods at your destination address. Our dedicated project manager maintains a complete audit trail of all movements, inventories, and compliance documentation throughout the relocation. For corporate clients in sectors like IT-ITES (especially in Gurgaon's DLF and Cyber City zones), we provide specialized IT-equipment handling protocols—servers, workstations, and data-centre infrastructure are moved under climate-controlled conditions.
What We Do Not Include
Relocation pricing excludes: storage beyond the agreed 7–14-day buffer period (thereafter ₹150–250 per cubic metre per day); customs clearance for international goods; renovation or repair work at destination premises; utility disconnection/reconnection fees; and insurance beyond standard coverage. Custom requirements are quoted separately after site survey.
Pricing, Payment Terms, and Invoicing
Quote Validity and Revision
All quotes remain valid for 30 days from issue date. Changes in origin or destination address, volume of goods, packing requirements, or market fuel surcharges may trigger a revised quote. Corporate clients receive 30-day credit terms for net settlement, subject to signing the Master Service Agreement and submission of GSTIN/PAN details.
GST and Compliance
Empire Relocations invoices all services under GSTIN 07CFHPS1719A2ZN. All invoices are GST-compliant and audit-ready. Residential moves are invoiced at 5% GST; corporate relocations and premium services at 18% GST. Input tax credit is available to registered businesses. Invoices are issued within 48 hours of service completion.
Deposit and Payment Schedule
- 30% advance upon quote acceptance (secures vehicle booking and team allocation)
- 40% before packing commencement (Friday cutoff for weekend moves)
- 30% on delivery completion (within 24 hours of final delivery verification)
Corporate clients with approved credit agreements may defer the final 30% to invoice date. Digital payments via NEFT, RTGS, bank transfer, UPI, and card are accepted. Cheque payments incur a 2% handling surcharge.
Liability, Insurance, and Damage Claims
Standard Coverage
All goods are moved under Empire's standard carrier liability insurance (₹50 lakh blanket cover on shipment value up to ₹50 lakh). High-value items—art, jewellery, antiques, custom IT infrastructure—require separate valuation and agreed all-risk coverage. Premium insurance (₹51 lakh – ₹1 crore) is available at 0.8–1.2% of declared value.
Damage and Loss Claims
Claims must be filed in writing within 7 days of delivery with photographic evidence and supporting documentation. Our logistics team will investigate and validate within 14 days. Settlement is processed via bank transfer within 30 days of claim approval. Disputes over valuation are resolved through independent survey at mutual cost (₹5,000–₹8,000 per item class).
Cancellation and Rescheduling
Cancellation Policy
- 30+ days before scheduled move: Advance refunded, 5% administrative fee retained
- 15–29 days: 25% of quoted amount is non-refundable
- 7–14 days: 50% of quoted amount retained as resource commitment charge
- Less than 7 days: 100% quoted amount retained; partial credits offered for future moves
Rescheduling
Moves may be rescheduled without charge up to 14 days before the booked date, subject to vehicle and team availability in your metro. Rescheduling within 7 days incurs a 10% rebooking fee.
Site Conditions and Access
Pre-Move Responsibilities
Clients must provide safe, unobstructed access to both origin and destination addresses during agreed time windows. For high-rise buildings in Delhi NCR (e.g., DLF The Pinnacle, Sector 43, Gurgaon), advance parking clearance and lift reservation are mandatory—delays due to access restrictions may incur idle-time charges at ₹500–₹1,000 per hour. Stairs-only moves or lengthy carry distances (beyond 50 metres) are quoted separately.
Hazardous and Restricted Items
We do not transport explosives, flammables, hazardous chemicals, perishables, or live animals. Weapons, currency, and high-value jewelry must be transported directly by you. Electronic waste disposal is charged separately (₹2,000–₹5,000 per category). All restricted items must be declared upfront.
Data Security and Privacy
Empire Relocations recognizes that corporate relocations often involve sensitive IT infrastructure and confidential business records. Our teams are trained in data-protection protocols. Hard drives, servers, and classified documents are handled under chain-of-custody procedures. Client information, inventory lists, and billing details are protected under Indian data-protection standards and accessed only by authorized personnel on a need-to-know basis.

Escalation Path
- Contact your dedicated project manager within 5 days of the issue
- Formal complaint submitted to Empire's Operations Head (response within 7 days)
- Mediation through neutral third party (if unresolved within 14 days)

Frequently Asked Questions
What is Empire Relocations' IBA Code and what does it mean for my move?
Empire Relocations holds IBA Code MUO-2547, certified by the Indian Bureau of Approved Packers & Movers. This means we comply with industry standards for goods handling, insurance, audit documentation, and dispute resolution. IBA-approved status protects your relocation legally under the FMCS Act. Non-IBA local movers lack this regulatory oversight and audit-trail protection that corporate clients require for policy compliance.
Are your invoices GST-compliant for corporate accounting?
Yes. Empire Relocations is GSTIN-registered as 07CFHPS1719A2ZN. We issue GST-compliant invoices with full tax itemization for all corporate moves. GST is calculated at applicable rates (5% for movement-only, 18% for packing+movement services) and itemized separately on invoices. We provide 30-day credit terms for registered corporate clients, subject to standard trade-reference verification.
What insurance coverage applies to my goods, and how long is the claims process?
Standard coverage is ₹50 per kg, up to a maximum of ₹5 lakhs per shipment. Enhanced coverage (up to ₹20 lakhs) is available at 1.5% of declared goods value. Claims are assessed within 7 days and settled within 14 days of approval. You must file a damage report within 48 hours of delivery. Insurance covers loss, theft, and accidental damage in transit—not wear-and-tear on fragile items without protective packing.
Is GST included in your quoted price, or billed separately?
All quoted rates are exclusive of GST unless explicitly marked 'all-inclusive.' GST (5% or 18% depending on service type) is itemized separately on your invoice. Toll charges, highway fees, and interstate permits are billed as actuals based on routes taken and current rates. No hidden charges. Your formal estimate specifies all assumptions—confirm these in writing before confirming the booking.
What is your refund and cancellation policy if I need to postpone my move?
Cancellations made 14+ days before move date are refunded in full, minus 5% processing fee (minimum ₹2,500). Cancellations within 7–14 days: 25% of total quote retained. Cancellations within 7 days: 50% forfeited. Postponements to another date within 90 days incur no additional cancellation fee if rescheduled at least 14 days in advance. Emergency postponements are handled case-by-case—contact your project manager immediately.
Who is liable if goods are damaged or lost in transit under your contract?
Liability is capped at the declared goods value or ₹5 lakhs, whichever is lower, unless enhanced insurance (up to ₹20 lakhs) was purchased. Empire Relocations is not liable for indirect losses, business interruption, or consequential damage. Liability claims must be filed in writing within 48 hours of delivery with photographic evidence. For loss of high-value IT equipment, specialized protocols (temperature-controlled, static-protected) are available at ₹500–₹2,000 per equipment unit.
What jurisdiction governs disputes, and what is the dispute resolution process?
All terms are governed by Indian law. Disputes are resolved through a three-stage process: (1) written notice and 30-day amicable settlement attempt; (2) arbitration by a single arbitrator under the Arbitration & Conciliation Act, 1996; (3) final jurisdiction rests with Delhi courts. Claims for specific performance or injunctions may be filed in court directly. Empire Relocations' registered office is in Delhi NCR—service of notice can be made at our head office address.
Do you provide dedicated project managers for corporate relocations, and what are their responsibilities?
Yes. Every corporate relocation receives a dedicated project manager as standard—no additional cost. They manage end-to-end coordination: pre-move inventory, packing schedules, transport logistics, delivery supervision, and post-move audit documentation. For moves involving ₹20+ lakhs in declared goods value or 10+ locations, a senior project manager is assigned. Your PM provides a mobile number and weekly status reports for moves exceeding 7 days duration.
